Privacy Policy

Last updated: October 31, 2026

This policy explains how SmartPDFConvert (“we”, “us”) handles information when you use smartpdfconvert.com.

1. Your files are never uploaded

All PDF and image tools run inside your web browser. The files you select are processed on your own device and are not sent to, stored on or viewed by our servers. When you close the page, the files are gone from the tool. Some tools, such as OCR, download program files or language data from our website the first time you use them – this only downloads to your device and never sends your documents. Passwords you type in Protect PDF or Unlock PDF are used only in your browser.

Webpage to PDF is the one exception that uses our server: when you paste a web address, our server opens that public page (and its pictures and styles) on your behalf and passes it straight to your browser. We only receive the address you typed – never your own files – and we do not keep a copy of the page. Like every web server, ours briefly records the address and your IP address in technical logs to prevent abuse.

Cover Letter Builder and Mind Map Maker: when you use the AI buttons, the facts or text you give are sent through our server to Google Gemini to write the letter or the map; they are not stored on our server. Your cover letter details are kept only in your browser.

AI Story Localizer: the script you paste is sent through our server to Google Gemini to be rewritten for the country you choose; it is not stored on our server.

Storybook Maker and eBook Maker: your story and your pictures stay on your device (saved in your browser). If you press the AI button to write picture scenes, the text of the pages or chapters is sent through our server to Google Gemini; if your story is not in English, the text may be sent to our translation service to write the scene in English for the prompts. The prompts are only shown to you to copy – you make the pictures yourself in any picture app and add them from your device. Nothing is kept on our server.

Remove Background works entirely in your browser: the AI model files are downloaded from the public Hugging Face model library (through the jsDelivr network), but your pictures are never uploaded.

Translation tools open and rebuild your file on your own device. In Google Chrome on a computer the translation itself also runs on your device. In other browsers the words that need translating (not the file) are sent securely to our translation service, which passes them to a translation provider (Google Gemini, Google Cloud Translation or MyMemory) and returns the translation; when our service is busy, your browser may send the words straight to MyMemory instead. When Google Gemini is used on its free plan, Google may use the text it receives to improve its products, so please do not translate highly confidential documents outside Chrome on a computer. Translated sentences may be kept in an anonymous cache, without your name or file, so the same sentence does not have to be translated twice. We keep an anonymous daily character count per visitor (a one-way code made from the internet address) to share the free service fairly.

AI tools – “Improve with AI” in the Resume Builder and the AI Summarizer – send only the text you chose to improve or summarise to our server, which passes it to Google Gemini and returns the result. Nothing is stored with your name. When AI is not available, the AI Summarizer makes its quick summary entirely on your device. Resume Builder details are saved only in your own browser.

Saved settings and app files. If you choose dark mode, that choice is saved only in your browser. To open faster and work as an installable app, your browser keeps a copy of our website pages and program files – never your documents.

Free accounts

Most tools work without an account. A few tools ask for a free account. When you create one we store your name, your e-mail address and your password as a one-way secure hash (we can never see your password), plus the date you joined and last signed in. We send your e-mail address a 6-digit code to confirm it and, if you ask, to reset your password. We use your e-mail only for your account – never for advertising – and we never sell or share it. A small cookie keeps you signed in for up to 30 days; signing out removes it. You can ask us to delete your account at any time by writing to smartpdfconvert@gmail.com. Your files are still processed on your device when you are signed in.

History. When you are signed in, we keep a short record of the files you make – the tool, the file name, its size and the date – so you can find them again on your account page. The files themselves are never uploaded: a copy for “Download again” is kept only in your own browser, on the device where you made it. You can delete single items, clear your history or switch history off at any time in Account settings, and deleting your account deletes your history.

Logo Maker. Logos are designed in your browser. When you press Save, the design (the text, colours and settings, and a picture you uploaded as the icon) is stored with your account so you can open it again. If you create a share link, anyone with the link can see the design, and people you allow to edit can change it after signing in; their name is shown with their changes and comments. You can turn a link off, delete a logo, or delete your account (which deletes your logos) at any time.

2. Information you send us

If you contact us through the contact form or help chat, we receive your name, email address and message so that we can reply. We keep these messages only as long as needed to answer you and keep a record of support requests, and we do not sell them.

3. Cookies, analytics and advertising

We use cookies and similar technologies to keep the site working, to remember simple preferences, to measure how the website is used (Google Analytics) and to show advertising (Google AdSense), which keeps every tool free. Full details are in our Cookie Policy.

Google Analytics tells us, in anonymous totals, which pages and tools are used, roughly where visitors come from and which devices they use. It does not receive your files. You can opt out with the Google Analytics opt-out browser add-on.

Google AdSense. Third-party vendors, including Google, use cookies to serve ads based on a user’s prior visits to this website or other websites. Google’s use of advertising cookies (such as the DoubleClick cookie) enables it and its partners to serve ads to you based on your visit to this site and/or other sites on the Internet. You may opt out of personalised advertising by visiting Google Ads Settings. You can also opt out of some third-party vendors’ use of cookies for personalised advertising at www.aboutads.info or, in Europe, www.youronlinechoices.eu. Learn more in How Google uses information from sites or apps that use its services. If you opt out, you will still see ads, but they will be less related to your interests.

Visitors from the European Economic Area, the UK and Switzerland are asked for consent, through Google’s certified consent message, before non-essential cookies and personalised ads are used. You can change your choice at any time.

Your own Gemini key (optional)

In the AI tools you can add your own free Google Gemini API key. The key is stored only in your browser (local storage on your device). When you use an AI feature it is sent, together with your request, through our server to Google so that Google counts the use against your own allowance. We never save your key on our server or in any log, and you can remove it at any time with the “Remove my key” button. Google’s terms and privacy policy apply to your use of your key.

Language translation

The website is written in English. If you choose another language with the 🌐 language button at the bottom of the page, the text of the page you are viewing is translated in your browser by Google Translate, so that text is sent to Google and Google’s privacy policy applies. Your choice is remembered with a small cookie (googtrans). Choose English to switch translation off.

4. Server logs

Like most websites, our hosting provider automatically records basic technical information such as IP address, browser type and pages visited, for security and to keep the site working. These logs never contain your documents.

5. Children

The website is not directed at children under 13 and we do not knowingly collect personal information from them.

6. How long we keep information

Your files are never stored by us. Account details and history are kept until you delete them or your account. Support messages are kept for as long as needed to answer you and keep a short record, normally no longer than two years. Server logs are kept for a limited time by our hosting provider for security. Anonymous translation caches and usage counts contain no personal details.

Who we share information with

We only share information with the services that help us run the site: our hosting provider (Hostinger), which stores the website and account data; Google, for analytics, advertising, AI features and translation; and the translation and content networks described above. We may disclose information if the law requires it or to protect the site and its users. We do not sell your personal information.

International transfers

These providers operate in several countries, so information may be processed outside the country where you live. Where the law requires it, we rely on the safeguards those companies provide, such as standard contractual clauses.

Security

The whole site uses HTTPS. Passwords are stored only as one-way hashes, sign-in attempts are limited and account data is kept in a private area that visitors cannot browse. No system is perfectly secure, so please use a unique password and keep copies of important files.

Your rights

Wherever you live, you can ask us to access, correct or delete the personal information we hold about you, or ask for a copy of it, by emailing smartpdfconvert@gmail.com. We may need to confirm your identity first.

EEA, UK and Switzerland (GDPR). We process personal data to provide the service you ask for (contract), to keep the site secure and improve it (legitimate interests), for non-essential cookies and personalised ads (your consent, which you can withdraw at any time), and to meet legal obligations. You also have the right to object to or restrict processing, to data portability and to complain to your local data protection authority.

California (CCPA/CPRA) and other US states. You have the right to know what personal information we collect, to request deletion or correction, and to opt out of the “sale” or “sharing” of personal information for cross-context behavioural advertising. We do not sell personal information for money; to opt out of personalised ads use Google Ads Settings above or a Global Privacy Control signal. We will never treat you differently for using your rights.
